  1. Facilities Management:
    1. Oversee the maintenance, repair, and management of building systems.
    2. Coordinate regular inspections and preventative maintenance of facilities.
    3. Manage space planning and allocation to ensure efficient use of resources.
    4. Ensure compliance with health and safety regulations, building codes, and other relevant laws.
    5. Liaise with contractors and vendors for maintenance services and other facility-related needs.

2) Security Management:

  1. Develop and implement security protocols to ensure the safety of the premises.
  2. Oversee security personnel and manage access control systems (e.g., key cards, security badges).
  3. Respond to security incidents and emergencies, providing guidance and resolution.
  4. Conduct regular security audits and risk assessments, implementing improvements as needed.
  5. Work with local law enforcement and emergency services to ensure preparedness for incidents

3) Cleaning Standards and Procedures:

  1. Inspect cleaning work regularly to maintain cleanliness and quality standards.
  2. Ensure that proper cleaning supplies and equipment are available, well-maintained, and used correctly.
  3. Implement and maintain health and safety practices, including infection control protocols, to ensure a safe environment for employees and visitors
  4. Ensure that the cleaning department follows all health and safety regulations and industry standards.

4) Staff Management: manage human resources with the Office:

  1. Monitor and manage staff performance, including taking appropriate disciplinary action when required and getting involved with labour law matters when requested by the Human Resources department.
  2. Promote and maintain high standards of work ethic and performance amongst staff; recommend top performing staff for relevant awards.
  3. Respond to and manage security emergency situations involving Botho staff and students

5) Financial management:

  1. Ensure that expenses are made as per budgets with opportunities for financial savings identified which do not reduce quality.
  2. Ensure operations are financially sustainable and able to handle sudden demand shocks to any Faculty.

  1. Quality Management System (QMS) compliance and enhancement
  1. Ensure alignment to and proper implementation of the University’s Quality Management System (QMA) processes, policies, forms, etc. and formally raise non-conformities when any discrepancy is identified.
  2. Review and update KPI data and the risk register for activities related to technology and property management.
  3. Ensure that all CAPA’s (Corrective and Preventive Actions) relevant to the role are addressed appropriately and closed within the stipulated time frame.
  1. General:
    1. Work to achieve the university's vision and mission by developing and implementing appropriate strategies, policies, and procedures.
    2. Build and maintain ethical, positive, and effective working relationships with colleagues across the university at all campuses, partner institutions, internal stakeholders, and external stakeholders.
    3. Perform any other role or responsibility as may be allocated by the Vice-Chancellor, Pro-Vice-Chancellor, Deputy Pro-Vice-Chancellor, and Campus Head from time to time.
