- Facilities Management:
- Oversee the maintenance, repair, and management of building systems.
- Coordinate regular inspections and preventative maintenance of facilities.
- Manage space planning and allocation to ensure efficient use of resources.
- Ensure compliance with health and safety regulations, building codes, and other relevant laws.
- Liaise with contractors and vendors for maintenance services and other facility-related needs.
2) Security Management:
- Develop and implement security protocols to ensure the safety of the premises.
- Oversee security personnel and manage access control systems (e.g., key cards, security badges).
- Respond to security incidents and emergencies, providing guidance and resolution.
- Conduct regular security audits and risk assessments, implementing improvements as needed.
- Work with local law enforcement and emergency services to ensure preparedness for incidents
3) Cleaning Standards and Procedures:
- Inspect cleaning work regularly to maintain cleanliness and quality standards.
- Ensure that proper cleaning supplies and equipment are available, well-maintained, and used correctly.
- Implement and maintain health and safety practices, including infection control protocols, to ensure a safe environment for employees and visitors
- Ensure that the cleaning department follows all health and safety regulations and industry standards.
4) Staff Management: manage human resources with the Office:
- Monitor and manage staff performance, including taking appropriate disciplinary action when required and getting involved with labour law matters when requested by the Human Resources department.
- Promote and maintain high standards of work ethic and performance amongst staff; recommend top performing staff for relevant awards.
- Respond to and manage security emergency situations involving Botho staff and students
5) Financial management:
- Ensure that expenses are made as per budgets with opportunities for financial savings identified which do not reduce quality.
- Ensure operations are financially sustainable and able to handle sudden demand shocks to any Faculty.
- Quality Management System (QMS) compliance and enhancement
- Ensure alignment to and proper implementation of the University’s Quality Management System (QMA) processes, policies, forms, etc. and formally raise non-conformities when any discrepancy is identified.
- Review and update KPI data and the risk register for activities related to technology and property management.
- Ensure that all CAPA’s (Corrective and Preventive Actions) relevant to the role are addressed appropriately and closed within the stipulated time frame.
- General:
- Work to achieve the university's vision and mission by developing and implementing appropriate strategies, policies, and procedures.
- Build and maintain ethical, positive, and effective working relationships with colleagues across the university at all campuses, partner institutions, internal stakeholders, and external stakeholders.
- Perform any other role or responsibility as may be allocated by the Vice-Chancellor, Pro-Vice-Chancellor, Deputy Pro-Vice-Chancellor, and Campus Head from time to time.
